This is not a passive, note-taking Executive Assistant role. You’ll sit close to the CEO — protecting his time, prioritizing his attention, and enabling him to operate at peak performance. The ideal candidate excels in blending executive support, organizational structure, administrative excellence, and proactive coordination across a fast-moving company. Compensation: $80,000 -$110,000 commensurate with experience

Location: Chicago, IL (The Loop)
Responsibilities:
Executive Support & Calendar Ownership
- Act as the CEO’s right hand, owning the inbox by triaging, prioritizing, and responding quickly to keep communication moving at startup speed
- Run point on the CEO’s calendar, making sharp judgment calls, prioritizing what matters most, and creating space for deep focus in a fast-moving environment
- Coordinate end-to-end domestic and international travel, building efficient itineraries and handling all logistics so the CEO can stay focused on scaling the business
- Support the company’s social presence, scheduling posts, and engaging with the community through timely, authentic responses when needed
- Own core operational workflows, including CRM updates, document management, corporate administration, and vendor coordination
- Prepare meeting agendas, capture notes, drive follow-ups, and track accountability to keep projects moving forward
- Support planning and execution of internal and external events, including practitioner-focused gatherings and off-sites
- Draft clear, compelling communications on behalf of the CEO, including emails, updates, and internal memos
- Provide high-trust support across work and occasional personal-life logistics, helping protect and extend the CEO’s bandwidth
- Partner closely with leadership and team members as needed, including coordinating board-related travel and logistics
Required Skills
- Experience supporting a fast-growing startup or a high-performance executive in a dynamic environment
- Demonstrated ability to anticipate needs, identify risks, and resolve issues before they arise
- Exceptional discretion and judgment — confidentiality is essential
- Strong, proactive communication skills with the ability to engage effectively across all levels of the organization
- Highly organized with a proven ability to bring structure, clarity, and momentum to fast-moving, evolving situations
- Genuine interest in health optimization, life sciences, performance, or wellness
- Hands-on experience with tools such as Google Workspace (G-Suite), Slack, Google Calendar, Jira, and Confluence
- Forward-thinking and proactive — you take initiative and act before being asked
- Confident and thoughtful in pushing back when needed, using sound judgment, data, and clear reasoning
- Possess a strong sense of humor (sarcasm appreciated) and thrive in a high-paced environment
- Comfortable operating in ambiguity, with the ability to create clarity and drive outcomes
